Background

With an ever-growing collection of modern archives and books the John Rylands Research Institute and Library faced a critical challenge: a lack of storage space. Without a sustainable solution, preserving and managing its invaluable collections would become increasingly difficult. This issue is not unique to the John Rylands but is a widespread concern across the heritage sector, affecting libraries, museums, and archival institutions worldwide.

To address this challenge, the library partnered with DeepStore, specialists in secure archival storage and document management solutions, to ensure the long-term preservation of its collections while freeing up much-needed space.

Founded in 1900, the John Rylands Research Institute and Library is a neo-Gothic masterpiece built in memory of John Rylands, one of Manchester’s most successful textile merchants, by his widow Enriqueta. The building is renowned for its extraordinary collection of rare books, archives and manuscripts, making it a unique convergence of history, literature, and stunning architecture.

Preparation

DeepStore’s heritage team worked with John Rylands Research Institute and Library to identify collections suitable for offsite storage.  Each collection was assessed based on criteria such as materials, demand, volume, and condition. Once identified for offsite storage, the collections were accurately recorded, barcoded, and carefully packed for transportation in DeepStore’s underground repository.

Prior to the uplift, DeepStore’s specialist team, along with the account manager, visited the Rylands Library to assess the scope of work. This process included an on-site risk assessment and the development of a methodology statement to ensure the safest and most efficient way to complete the uplift.

Execution

Once the scope of work was approved, our team carefully packed and palletised 400 items for relocation, completing the uplift within the same day. The items were carefully moved from two different floors, navigated through the Grade 1 listed building using specialised equipment, and securely transported from the library to our secure underground storage facility in Cheshire. With a constant temperature of 15°C and RH of 55%, no risk of UV damage, vermin or flooding, the John Rylands Research Institute and Library’s collection will be preserved for generations to come.
