Requirement
In May 2003 DeepStore was awarded the archive storage contract from The National Archives. This was to be the largest uplift ever completed by DeepStore to date and so the uplift methodology was a crucial aspect of the partnership to be formed.
Preparations
DeepStore proposed project plans that identified areas of concern as well as areas of possible improvements within a flexible structure that would allow for the plans to be adapted, suspended or accelerated as required.
Arrangements were made for 90 roll cages to be filled and relocated on a daily basis to DeepStore's underground facility which in total contained approximately between 1,080 and 1,800 items.
Man Power
Within the DeepStore operational team, 4 employees were utilised for the putting away of the items whilst a further 3 employees were seconded from Salt Union to provide services for transporting the items in sealed roll cages from No 4 shaft to the DeepStore underground facility. This operational team provided regular updates to their line managers who in turn could confirm progress reports back to the client and ensure that the project plan was achieved on a daily basis. Even though the client advised that the handling of items was deemed more important that the actual scheduled plan, DeepStore was successful in completing the project within 4.5 months with no service penalties issued.
Results
The most valuable lesson learnt through this major uplift was to not under estimate the power of communication and making the business available no matter what time of day/night.
This approach has now become an essential requirement for all key personnel within the DeepStore business and is happily offered by all team members throughout the Sales and Operational teams.
Maintaining an open and honest relationship made it easier to present any unforeseen circumstances to the client, such as the turnaround of the uplift in the early weeks - which could put strain on the operation. The eradication of such circumstances led to the quick employment of additional resources, better and more efficient equipment and the uniting of the Sales and Operational teams to support one another during this pressured period.
